We are looking for an AMAZING, full-time Executive and Personal Assistant to the Executive Director. The Executive and Personal Assistant's role is to stay five steps ahead of their leader, tracking all the administrative details, and clearing the path for her to best utilize her gifts and talents to further the mission of our organization. The most important responsibility of the Assistant is to ensure that administrative tasks and projects a4re completed with a high level of efficiency, confidentiality, accuracy, flexibility, sense of urgency and positivity to support the Executive Director's initiatives. Her schedule is demanding and fluid and thus the Executive and Personal Assistant must be adaptable, extremely organized, and able to multi-task.
Qualifications
Bachelor's degree and 2-5 years’ experience supporting executive(s). Full time Exempt Position: We offer excellent salary and benefits.
Core Responsibilities
1. Complex calendar management and scheduling (both personally and professionally)
2. Varying personal and professional administrative tasks including, but not limited to, booking appointments, coordinating travel, ordering gifts, working with board of directors and outside professional contractors
3. Meeting preparation including preparing agendas, meeting materials, printed reports, and arranging catered meals
4. Email management and communicating on the Executive Director's behalf
5. Working with members of the management team, board of directors and benefactors
6.Assisting the Executive Director with the engagement, cultivation, and solicitation of current and new donors/benefactors and in all fundraising efforts
Working Conditions
Position will work primarily from Legacy of Life Foundation offices in Bristol, PA. Utilizes office equipment including laptop. May sit for extended periods of time. Required to work daytime, and/or evening and weekend hours as necessary.
Skills:
Be Proficient with Microsoft Office Suite, Google Suite, Zoom, iPhone, and work management software, such as Monday.com, as well as donor database software. Must also be able to use general office equipment including a smart telephone, computer and/or laptop, copy machine, scanner, fax, and calculator. Be an excellent communicator both with written and oral form. This candidate must have the ability to anticipate needs and work with minimal direction.
